Draft COE Search Option Now Available

Our customers who work with the approval of electronic COEs have been familiar with the Draft COE view for some time.  This is the view where all COEs that have been submitted for approval are viewed and processed up until the time that they become fully approved.    Prior to now, users could scroll through all COEs which have a draft status, but outside of creating a report, there was no way to view all draft COEs at a glance.  The COE Search functionality on the Draft COE View now has a Draft COEs search capability.  This will show all the COEs in the system that have been submitted for approval along with their current owner, recruiter, and status.  This new functionality will go out with the next you receive so be looking for it !

COE Search Scope

Most states have their MIS2000 web system configured so that authorized users can search for COEs based upon their current status in the COE Review process. For example, Maine COE search looks like this:

"My Students" in the web app

I've recently made some changes to the way "My Students" works in the web app, so it seemed like a good time to explain this mysterious bit of functionality. The Search page in the web app can be restricted to show results for "All Students" or "My Students". It looks like this:

Snapshot Operations

This feature allows you to archive or "freeze" your data. The archived data is saved separately from your production database. Changes made to your production data will not apply to the archive.

KY OSY Profile

Several states have begun to add OSY Profiles to their MIS2000 systems but I think KY is the first to get it integrated into their web app. We like to remind everyone that there's never a charge to add new kinds of migrant data to your MIS2000 system. If it helps you serve the students or make you more productive, we'd like to know about it.

Set up Resources to manage shared files with MIS2000 Online!

Alaska has just got through testing and setting up file sharing online using MIS2000 web services.  This will give them a better way to mange files that need to be transferred and shared between State, Regional and District users in a secure safe way.   Kevin wrote a detailed blog about File Sharing with MIS2000, click on the link to read all about it.

Student Lists in MIS2000 Web App

Lists are one of the newest features in the MIS2000 Web System and are still going through a lot of development. If you visit the Search page you'll see three tabs: "students", "coe", and "lists". Clicking on the lists tab will get you something like this:

COE Eligibility Panel Enhancements

Over the last few years, especially as more and more states have been taking advantage of the tablet system to collect electronic COEs, we have updated the COE Eligibility panels for several states to be much more in line with the National COE’s Qualifying Move & Work section.    The updated panel follows the numbering and wording on the paper COE and that even extends to the text in many of the drop down controls.   Even though this change has been primarily requested by states using the tablet system, it is a nice enhancement that might be appreciated by many MIS2000 users.    Below is a screen shot of the Kentucky COE Eligibility panel which was recently updated.   Please let us know if you’d like to consider making a similar update to your Eligibility panel and we’ll work through the details and make it happen.

Louisiana Needs Assessments in web app

Louisiana has become the second state to begin collecting their Needs Assessments through the web app. This gives personnel who are not carrying a full installation of MIS2000 to still be able to fill out a Needs Assessment for a student.

Secure file sharing with MIS2000

Sometimes you may need to share a document with a colleague, maybe a scan or a PDF, that has sensitive data. Sending this kind of document as an attachment in an email is a terrible plan. You should always regard everything sent in an email to be essentially visible to the world. You may have a secure email system, but unfortunately these can be very cumbersome to use.
