This is a big change for MIS2000 that will be phasing in over the next few months. Be sure to contact me and let me know if you don't want this for your state. Over the years we've been very focused on making sure we don't lose any of your data. Being able to pull up old students and old reporting data is a big part of MIS2000's job. But some of the systems out there have some very old data and we need to be thinking about getting rid of it after it has served its purpose, both to comply with privacy and data retention laws, and just to keep the system running smoothly without being burdened by lots of old data that is no longer useful.
So with these goals in mind, MIS2000 will soon begin to purge off old COEs and old Students. Which old COEs and which old Students? Well, that's the big question and I've taken a very conservative approach. To be eligible for automatic removal, a COE must have the following characteristics
- It must have a QAD older than 14 years.
- It must contain only students older than 22.
- It must contain only students who have not received any updates in the system in 11 years.
Any COE matching these criteria will be eligible for removal. A Student record is eligible for removal if it has these characteristics
- The student must be older than 22.
- The student record must not have been updated in any way within the past 11 years.
- The student must no longer appear on any COEs in the system.
When MIS2000 detects COEs or Students exist that meet the criteria, it will produce a Snapshot of the system. You can read about how Snapshots work here. So none of the data will be irretrievably deleted until the Snapshot is deleted which MIS2000 will never automatically do. We'll leave that to you. MIS2000 will produce these Snapshots no more often than once a year, which should be plenty since no Students get removed until they haven't been updated for over a decade. Until you delete that Snapshot, all of the COEs and Students will be recoverable, and you'll always be able to reproduce COE prints, student records, and reports from the Snapshot.
